Opening your profile
Click your avatar in the top-right corner of any page. In the popover menu select My Profile. The profile page opens with four tabs on the left (desktop) or a horizontal strip (mobile):
| Tab | What it contains |
|---|---|
| Personal | Name, phone, profile photo, and read-only account details |
| Security | Password change form, account status, and 2FA (coming soon) |
| Billing | Current plan, subscription status, and enabled feature modules |
| Preferences | Timezone and theme settings (read-only — configured in Settings) |
Dispatchers see the same profile page but without the Billing tab. Drivers do not have access to the web dashboard profile.
Personal tab
Changing your name or phone number
- Open the Personal tab (selected by default).
- Edit the Full Name or Phone field. The Save Changes button activates as soon as you modify a value.
- Click Save Changes. A green checkmark confirms the update.
Your email and role are read-only and cannot be changed from this screen. To change a user's email, contact Elevera support. To change a user's role, see Users & Roles.
Uploading a profile photo
- Click Change Photo below your current avatar.
- Select an image from your device. Maximum file size is 5 MB. Supported formats: JPG, PNG, WebP.
- The photo uploads automatically and replaces your avatar across the entire platform — tables, sidebar, top bar, and shift history.
If the upload fails, check that your file is under 5 MB and that you have a stable internet connection. The photo is stored securely in your organization's private storage bucket.
Account details (read-only)
Below the form you will find a summary card showing:
- Role — your role badge (Owner, Dispatcher, Driver)
- Organization — the name of your Fleet organization
- Member Since — the date your account was created
- Status — Active (green) or Inactive (grey)
Security tab
Changing your password
- Switch to the Security tab.
- Enter your current password in the first field.
- Enter a new password (minimum 8 characters). A strength indicator shows the password quality in three tiers — weak (red), fair (amber), and strong (green).
- Re-enter the new password in the Confirm Password field.
- Click Update Password. A success message confirms the change.
Use a password manager to generate and store a strong, unique password. A strong password uses at least 12 characters with a mix of uppercase, lowercase, numbers, and symbols.
Temporary password banner
If your account was created by an administrator with a temporary password, a yellow banner appears at the top of the Security tab:
For security reasons, you must change your temporary password before continuing.
You will also be automatically redirected to a dedicated password-change screen on every login until you set a permanent password.
Account status section
The bottom of the Security tab displays:
| Field | Description |
|---|---|
| Account Status | Active or Inactive — inactive accounts cannot log in |
| Created | The full date your account was first created |
| Two-Factor Authentication | Currently shows "Coming Soon" — 2FA will be available in a future update |
Billing tab
This tab is only visible to Owner accounts. Dispatchers and Drivers do not see billing information.
Current plan
The top card shows your organization's subscription:
- Plan name — the tier you are subscribed to (e.g., Fleet Pro)
- Status badge — one of: Active, Trialing, Past Due, Canceled, or Inactive
- Organization name — your company name as registered
Click Manage Subscription to navigate to Settings, where you can upgrade, downgrade, or update payment methods.
Enabled modules
Below the plan card, you can see which of the six feature modules are turned on for your organization:
| Module | What it unlocks |
|---|---|
| Fleet Maintenance | Scheduled services, maintenance dashboard, vendor management |
| Cost Analytics | Cost tracking cards, cost trends, budget comparisons |
| AI Photo Analysis | Automatic damage detection on inspection photos |
| AI Photo Review | AI-assisted photo review suggestions for dispatchers |
| Audit Mode | Read-only audit tokens for insurers and auditors |
| Vendor Workflow | Vendor assignment, repair job tracking, vendor portal |
Each module shows a green ON or grey OFF badge. A counter at the top shows how many modules are enabled (e.g., "4/6 enabled").
To enable or disable modules, go to Settings → Modules. Changes take effect immediately for all users in your organization.
Preferences tab
The Preferences tab currently provides read-only information:
- Timezone — displays your organization's configured timezone (e.g., "Europe/Berlin"). To change it, click the link to navigate to Settings.
- Theme — shows a "Coming Soon" badge. Dark mode and custom themes will be available in a future update.
Lost password recovery
If you cannot log in because you forgot your password, follow these steps to reset it.
Step-by-step: Reset a forgotten password
- Open the Fleet login page and click Forgot password? below the password field.
- Enter the email address associated with your Fleet account and click Send reset link.
- Check your inbox for an email from
no-reply@fleet.elevera.appwith the subject "Reset your password". If you do not see it within 60 seconds, check your spam or junk folder. - Click the Reset Password button in the email. Your browser opens the Fleet password-reset page. The link is valid for 1 hour — if it has expired, return to step 1 and request a new link.
- Enter a new password (minimum 8 characters) and confirm it in the second field.
- Click Set New Password. A success message appears and you are redirected to the login page within 2 seconds.
- Log in with your email and new password.
The reset link can only be used once. If you click it a second time or after it has expired, you will see an "Invalid or expired reset link" error. Simply request a new link from the login page.
What happens behind the scenes
When you click Send reset link, Fleet sends a secure one-time token to your email via Supabase Auth. Clicking the link in the email verifies the token and creates a temporary authenticated session. This session only has permission to set a new password — it does not grant access to the dashboard. Once you save the new password, the session ends and you must log in normally.
Troubleshooting password issues
| Problem | Solution |
|---|---|
| Never received the reset email | Check spam/junk folder. Verify you entered the correct email. Contact your administrator to confirm your account exists. |
| Link says "Invalid or expired" | The link expires after 1 hour or after a single use. Request a new link from the login page. |
| "Must change password" banner after login | Your administrator created your account with a temporary password. Enter a new password on the change-password screen — you cannot skip this step. |
| Password change fails | Ensure your new password is at least 8 characters. Check your internet connection. If the issue persists, try the forgot-password flow instead. |
| Locked out of your account | Contact your organization's Owner or Elevera support. An Owner can reset your password from the Users page using the Reset Password action. |
First-time password setup
When an administrator adds you to Fleet and shares a temporary password:
- Log in with your email and the temporary password provided by your administrator.
- Fleet automatically redirects you to the Change Password screen. You cannot access any other page until you complete this step.
- Enter a new permanent password (minimum 8 characters) and confirm it.
- Click Change Password. You are redirected to your dashboard based on your role — Owners go to the Owner Dashboard, Dispatchers to the Dispatcher Dashboard.
If your organization uses an invitation link instead of a temporary password, you will land on a Set Password page where you create your password for the first time. The link is valid for 7 days.
