The shifts page
Click Shifts in the sidebar to open the shifts overview. The top of the page counts active shifts, shifts pending review and shifts over the hour limit. Below it sit a monthly calendar, the drivers currently on shift, and a list of recent inspections.
Calendar view
The calendar shows the current month. Days with shifts carry a marker, so busy periods and quiet gaps stand out at a glance. Use the arrows to move between months.
Click a day to list that day's shifts in the inspections list below the calendar. Today jumps back to the current day; Clear filter returns to the most recent inspections.
Active drivers panel
Beside the calendar, Active Drivers lists the drivers on shift right now, with their vehicle and whether their shift still needs review. Click a driver to open their current shift. When more drivers are on shift than the panel shows, See all drivers opens the full list.
If a driver is on shift but their shift has no inspection photos, they may have started driving without the pre-shift vehicle inspection. Follow up promptly.
Shifts over the hour limit
Every organization has a shift hour limit — 10 hours unless someone changed Maximum shift duration under Shift hour limit in Settings. The same limit drives the timer in the Fleet by Elevera mobile app. When an active shift runs past it, the shift appears in a red alert at the top of Shifts and on the dashboard, and the Overlimit box counts it.
Inspecting an over-limit alert
- Click Shifts in the sidebar. The Overlimit box in the right-hand column shows how many shifts are past the limit.
- Read the red alert. Its headline says how many shifts are over the hour limit and what the limit is.
- Each row names the driver, the plate and vehicle, when the shift started, how far it is over the limit and how long it has run.
- Click Refresh to re-check the list, or Collapse to fold the alert away.
Reading the alert changes nothing. In most cases the right first step is to call the driver: the shift may simply still be open in their app.
Ending a shift on the driver's behalf
Ending a shift is a real change to the record: the shift stops being active, counts as finished or cancelled in reports, and shows that you ended it. Do it only when the driver has actually stopped working — never to try the dialog out. The walkthrough video stops at the filled dialog on purpose, before the shift is ended.
- On the driver's row, click End shift. A dialog opens; nothing is saved yet.
- Under How should this shift be recorded?, choose Complete (counts as a finished shift in reports) or Cancel (hides the shift from completion totals).
- Check Start time and End time. The end time defaults to now; back-date it if the driver actually stopped earlier.
- Enter a Reason. It is required, and it is saved for audit together with who ended the shift and when.
- Add End notes (on the driver's behalf) if the driver would have written something about the end of the shift.
- Click the red End shift button to end the shift.
The dialog has two Cancel buttons. The one under How should this shift be recorded? records the shift as cancelled. The one at the foot of the dialog closes it without changing anything — use that one, or the close icon, to back out.
End all in the alert's header ends every shift in the alert at once, with one reason for all of them. The same rule applies: only when every one of those drivers has stopped working.
In the inspections list, a shift you ended is marked Force-ended, with your name.
Understanding shift statuses
Every shift in Fleet has one of three statuses:
| Status | Meaning |
|---|---|
| ACTIVE | The driver has started this shift and is currently on the road. The shift stays active until the driver ends it or it is ended on their behalf. |
| COMPLETED | The shift has ended normally. End-of-shift inspection photos should be available for review. |
| CANCELLED | The shift was recorded as cancelled. It does not count toward completion totals. |
Every shift with inspection photos that nobody has reviewed yet appears in the Inspections review list, including a shift that is still running once its start photos are in.
How shifts connect to photo review
The shifts page is your reference view — it shows what happened and when. Inspections is your action view — it shows the shifts that need your verdict. When you are investigating a shift from the review list, come back here to see the driver's other shifts that day and the vehicle's recent use. Reviewing a shift does not remove it from the shifts page. To plan upcoming shifts, use the weekly schedule.
Why the shifts calendar matters
The shifts calendar is your fleet's heartbeat monitor. Each day's count tells you how busy your operation is; the alert tells you where someone needs to step in.
Historical shift data is valuable during audits and operational reviews. You can look back and see exactly which driver had which vehicle on any given day — essential for damage disputes, compliance checks and capacity planning.
Recommendations
- Check the shifts page every morning before the first driver clocks in. A shift that should have ended yesterday but is still active shows up in the over-limit alert — follow it up first.
- When investigating damage, look at the sequence of drivers and inspection photos for that vehicle to narrow down when the damage likely occurred.
- After checking the calendar, go straight to Inspections to clear any pending reviews. This keeps your review pipeline healthy.
