Profile & Settings

Edit your personal profile, manage vehicle statuses, and view team members.

Your profile

Navigate to Profile in the sidebar to view and edit your personal information. The profile page shows your account details and allows you to update:

  • Full name — Your display name shown across the platform
  • Email address — Your login email and the address used for notifications
  • Phone number — Optional contact number
  1. Open the Profile page from the sidebar.
  2. Click into any field you want to update — name, email, or phone.
  3. Make your changes and click Save to apply them.

The profile page also shows your organization's information (name and details) in read-only form. As a dispatcher, you cannot edit organization-level details — that is managed by the Owner.

NOTE

Billing information, subscription management, and organization settings are not visible to dispatchers. If you need changes to these areas, contact your organization's Owner.

What dispatchers cannot access

To keep things focused, the dispatcher profile page hides several sections that are available to Owners:

  • Billing tab — Subscription, invoices, and payment methods
  • Organization editing — Company name, address, and logo
  • Module configuration — Enabling or disabling feature modules

This is by design. Your profile page shows only what is relevant to your daily work.

Settings — Vehicle statuses

Navigate to Settings in the sidebar to access the dispatcher settings page. Currently, the primary feature available here is Vehicle Status Management.

What are vehicle statuses?

Vehicle statuses are custom labels that your organization defines to track the operational state of each vehicle. They appear as colored badges on the vehicles list and detail pages. Common examples include:

  • Active — Vehicle is in regular service
  • In Maintenance — Vehicle is at the shop
  • Out of Service — Vehicle is not available for assignment
  • Reserved — Vehicle is reserved for a specific purpose

Managing vehicle statuses

The settings page shows all current vehicle statuses in a sortable list. For each status you can see:

  • Name — The display label
  • Color — The badge color used throughout the interface
  • Default — Whether this status is automatically assigned to new vehicles
  • Position — The sort order in dropdown menus and lists
  1. To add a new status, click the Add Status button. Enter a name, choose a color, and set its position in the list.
  2. To edit an existing status, click on it in the list. Update the name, color, or position as needed.
  3. To reorder statuses, adjust the position values. Lower numbers appear first in dropdowns and lists.
  4. To set a default status for new vehicles, toggle the default flag on the desired status. Only one status can be the default at a time.
TIP

Keep your vehicle status list concise and meaningful. Every status should represent a distinct operational state that affects how dispatchers and drivers interact with the vehicle. Too many statuses can create confusion; too few may not give you enough granularity for fleet management.

Users — Viewing team members

Navigate to Users in the sidebar to see all members of your organization. The users page lists every person with an account, including:

  • Name — Full name
  • Email — Login email address
  • Role — OWNER, DISPATCHER, or DRIVER
  • Status — Active or inactive

As a dispatcher, you can view team members but the ability to invite new users or change roles is reserved for Owners. This page is useful for:

  • Looking up a driver's contact information
  • Checking which dispatchers are on your team
  • Verifying that a driver's account is active before assigning them to shifts or jobs
NOTE

If you notice a team member whose account should be deactivated (e.g., a driver who has left the organization), notify your Owner so they can update the account status. Dispatchers cannot deactivate or remove user accounts.

Recommendations

  • Keep your phone number current. During urgent situations (unresponsive driver, critical vehicle issue), your owner or team may need to reach you by phone. An outdated number creates delays when speed matters.
  • Design vehicle statuses around your workflow. Think about the questions you ask every day: "Which vehicles are available?" "Which are at the shop?" "Which are reserved?" Each answer should map to a status.
  • Limit vehicle statuses to 5-8. Each status should be immediately meaningful to anyone looking at the fleet list. If you need a glossary to explain your statuses, you have too many.
  • Check the users list when onboarding new drivers. Confirm their account is Active before scheduling their first shift. An invitation that was sent but not accepted means the driver can't use Fleet Go yet.
