What custom inspections are for

Custom inspections turn a repeatable check — a morning walk-around, a cargo area check, a yard audit — into a form your drivers fill in with the Fleet by Elevera mobile app. You build the form once, publish it, and schedule it. Every run lands in Results, and every failed check becomes a finding someone has to act on.

Click Custom Inspections in the sidebar. The page has four tabs: Templates, Assignments, Due and Results.

NOTE

Custom inspections require the custom inspections module. If your plan does not include it, the page says so instead. Only owners can edit templates.

Create a template

  1. On the Templates tab, click New template at the top right.
  2. Enter a Template name and click Create. The form builder opens with a first section and a starter check already in it.
  3. Click a field type in the palette on the left to add it: Pass / Fail, Text, Number, Photo, Signature, Barcode, Odometer or Select. Use Add section to group fields.
  4. Click a field to open its settings on the right — its Label, Help text and whether it is Required. A Photo field adds Camera only and the Minimum photos and Maximum photos a driver must take.
  5. Use Mobile preview to see the form as a driver will.
  6. When the form is ready, click Publish. The status under the template's name changes from Draft to Published.

The builder saves your draft as you work; Save does it on demand. Published versions stay immutable, so the evidence behind earlier results never changes.

Schedule it for your drivers

A template only reaches drivers once it is published and scheduled.

  1. Open the Assignments tab.
  2. Under Schedule an inspection, choose the Template and When it runs — for example Daily, Weekly or Before shift.
  3. Choose the Assignment strategy — for example Driver who uses the vehicle — and the Scope.
  4. Set when it Starts and the Enforcement: Reminder only, Required before shift start or Required before shift end.
  5. Click Create schedule.

Runs are created only when their availability window opens. The Due tab lists what is waiting to be done.

Read the results

Drivers complete each run in the mobile app. Fleet works out Pass or Fail from their answers.

  1. Open the Results tab. Narrow the list with the filters — Template, driver, vehicle, Result and a date range.
  2. Click a run to open it. You see every answer, the overall Result, who it was Submitted by and Assigned to, and when it was Submitted.
  3. Each failed check creates a finding, listed on the right of the run. Acknowledge it when someone takes it on, then Resolve it once it is fixed — or Dismiss it if it needs no action.
  4. Click Export PDF to keep a copy of the run.
TIP

A template you have just published has no results yet. That is why the walkthrough video builds one template and then reads the results of another that drivers had already run.
